We are seeking a high-performing Executive Assistant to directly support senior executives and business owners in a fast-paced, results-driven environment. This is not a task-based or entry-level role. You will act as a strategic partner, managing priorities, anticipating needs, and protecting executive time so leaders can focus on decision-making and growth. Success in this role requires exceptional judgment, discretion, precision, and the ability to operate independently with minimal supervision. Key Responsibilities: Own and manage complex, multi-time-zone calendars, proactively resolving conflicts and prioritizing meetings based on business impact; Coordinate domestic and international travel, ensuring accurate itineraries, contingency planning, and real-time adjustments; Act as a gatekeeper for executive communications, triaging emails, calls, and requests with sound judgment; Prepare, review, and organize executive-level documents, reports, and presentations with a high standard of accuracy; Plan, coordinate, and run meetings end-to-end, including agenda preparation, minute-taking, and strict follow-up on action items; Handle confidential and sensitive information with absolute discretion and professionalism; Support cross-functional initiatives through independent research, coordination, and structured data management; Liaise confidently with internal teams, clients, partners, and external stakeholders on behalf of executives; Identify inefficiencies and proactively improve administrative and communication workflows; Perform additional executive-level administrative tasks as required, with a mindset of ownership rather than instruction. Qualifications: Minimum 2 years of hands-on experience supporting senior executives or business owners as an Executive Assistant, Personal Assistant, or similar role (administrative-only or entry-level experience is not sufficient); Demonstrated ability to manage competing priorities, deadlines, and shifting demands in a fast-paced environment; Excellent written and spoken English, with the ability to draft clear, professional correspondence on behalf of executives; Proven proficiency in Google Workspace and/or Microsoft Office, including advanced calendar management and document preparation; High level of professional judgment, discretion, and attention to detail when handling confidential and sensitive information; Ability to work independently, anticipate needs, and make informed decisions without constant direction. Preferred (but not required): Bachelor’s degree in Business Administration or a related field; Direct experience supporting C-level executives, founders, or senior leadership teams; Experience working with international teams or multiple time zones.
